Our Policies
Welcome to The Dream Treks. Please read these Terms & Conditions carefully before booking a trek, expedition, or any adventure activity tours with us. These terms constitute a legally binding agreement between you (the participant) and The Dream Treks (referred to as “we,” “our,” or “us”).
By booking or participating in a trip organized by The Dream Treks, you acknowledge that you have read, understood, and agreed to abide by the following terms.
1. Booking and Registration Process
- All bookings must be made through our authorized representatives.
- A participant must be 18 years or older to book a trek. Minors (below 18) must be accompanied by a parent or legal guardian or submit a signed consent form.
- At the time of booking, a participant must provide accurate personal information and medical history.
- Your booking is confirmed only after full or partial payment is received and a confirmation email is issued.
2. Payment Policy
- Advance Payment: A minimum of 30%-50% (as per trek requirement) of the total trek cost is required to reserve a slot.
- Full Payment: The balance must be paid on the trek start date before starting your trek.
- Payment Methods: Payments can be made via bank transfer, UPI, online payment gateway, or through authorized representatives.
3. Cancellation Policy
By Participant:
- 30+ days before the trek: 90% refund of the total amount.
- 15-30 days before the trek: 50% refund of the total amount.
- Less than 15 days before the trek: No refund.
- NO refund will be issued for any booking amount that is less than ₹500.
Note:
- Refunds will be processed within 7–10 working days after the cancellation is confirmed.
- No refund will be entertained if the participant leaves the trek midway for personal reasons or is disqualified due to misconduct, unpreparedness, or health issues.
By The Dream Treks:
- In the event of trek cancellation due to natural calamities, unforeseen weather conditions, or government restrictions, we will provide a full voucher/credit note, which can be used for future treks with us.
- Cash refunds are not provided in such force majeure situations.
4. Refund and Transfer Policy
- No refund will be given for unused services or voluntary absence from scheduled activities.
- Transfer of booking to another individual is not allowed without written approval and verification.
- If a participant is found unfit or underprepared during the trek, no refund will be issued in case of removal from the group.
5. Health & Fitness Requirements
- Participants must be physically and mentally fit for high-altitude trekking.
- Participants are required to disclose any pre-existing medical conditions (asthma, heart problems, diabetes, etc.) to their Trek Leaders before starting the trek.
- A fitness certificate from a registered medical practitioner may be required for selected treks.
- The Dream Treks reserves the right to deny participation or continuation on a trek if a participant is found medically unfit or under the influence of alcohol, drugs, or any other substance.
6. Risk Acknowledgment & Liability Waiver
Trekking and adventure sports involve inherent risks, including but not limited to:
- Harsh weather conditions
- High-altitude sickness (AMS, HAPE, HACE)
- Injuries, falls, or accidents
- Natural disasters
By participating in our treks, you acknowledge these risks and agree that:
- The Dream Treks, its owners, staff, trek leaders, or any affiliates are not liable for injuries, losses, or damages arising out of or related to participation in our treks.
- You have voluntarily signed a waiver and undertaken this activity at your own risk.
7. Accommodation and Meals
- Accommodation is provided in tents/homestays/guesthouses on a triple/quad sharing basis.
- Accommodation on Double Sharing basis will be separately chargeable.
- Meals during the trek are vegetarian unless specified otherwise.
- Special dietary requirements must be communicated in advance but are not guaranteed at all locations.
8. Equipment and Gear
- The Dream Treks provides common trekking gear (tents, sleeping bags, microspikes, gaiters, etc.) as per the trek requirement.
- Personal equipment such as trekking poles, headlamps, ponchos, and trekking shoes can be rented in advance.
- Participants are responsible for maintaining rented gear. Damaged or lost items will incur additional charges.
9. Code of Conduct
Participants are expected to:
- Follow the instructions of the trek leader and staff at all times.
- Maintain discipline, respect local customs, and avoid actions that harm the environment or disturb fellow trekkers.
- Avoid littering, disrespecting locals, or damaging flora/fauna.
- Any misbehavior or violation of safety protocols can lead to immediate removal from the trek without refund.
10. Itinerary and Changes
- Itineraries are indicative and subject to change due to weather conditions, terrain, or other uncontrollable factors.
- The trek leader reserves the right to make last-minute changes to ensure the safety of the group.
- The Dream Treks is not liable for any loss or inconvenience caused due to itinerary changes.
11. Transport
- Transport arrangements from base cities (if included in the package) are made in shared vehicles.
- Delays due to landslides, traffic, or other unforeseen reasons are not our responsibility.
- Participants are advised to keep buffer time before or after the trek when planning their return journey.
12. Photography & Promotion
- We may use photos and videos captured during the trek for promotional purposes on our website, social media, or marketing material.
- If a participant wishes not to be featured, they must inform us in writing before the trek.
13. Communication and Working Hours
- Our official working days are Monday to Saturday. We are closed on Sundays, and public or government holidays.
- No invoices, confirmations, or official communications will be processed or issued on non-working days.
- If a query or payment confirmation is received on a non-working day, and our team is not able to get back to you, in that case our team will review and respond to it on the next working day.
- We appreciate your patience and understanding regarding response timelines on holidays and weekends.
